Objects

Create your own record types beyond patients and opportunities, such as treatment packages, and link them to patients.

2 min read

MedicalGrow has three built-in record types (objects): Contact (patient), Opportunity and Company. For most clinics these are enough. Sometimes, though, you need a separate list of records with their own fields that link to patients. The Objects page lets you create a custom object for that.

When should you use a custom object?

A custom object makes sense when all three of these are true:

  1. The record has its own details (name, price, duration, contents…).
  2. The same record can link to more than one patient.
  3. You want to see a list of these records on its own.

Clinic examples:

Custom objectFieldsWhy?
Treatment PackagesPackage name, price, hotel nights, what's includedSee every patient who chose the "All-on-4 Package" in one list
Partner HotelsHotel name, stars, nightly rate, addressTrack which patient is staying at which hotel
Agents / ReferrersAgent name, country, commission rateTrack patients and commission from referral agencies

Note

If the information belongs to a single patient only (e.g. their arrival date), use a custom field instead. Custom objects are more powerful but take more effort to set up and use.

Create Custom Object window: singular and plural name, primary display property and description.
  1. Enter a Singular Name (e.g. "Treatment Package") and a Plural Name (e.g. "Treatment Packages").
  2. In Primary Display Property, enter the name of the field shown as each record's title, e.g. "Package Name".
  3. Briefly describe what the object is for in Description.
  4. Click Save.

Fields and associations

Once the object exists:

  • Add fields: from the object's page, add fields such as price (Monetary), nights (Number) or what's included (Multiple Options). Field types are the same as in Custom fields.
  • Create an association: associate the object with Contact. You can then pick the package from the patient record, and see every patient who bought it from the package record.
  • Add records: enter your packages one by one (e.g. "All-on-4", "Hollywood Smile 20 Veneers", "FUE 4000 Grafts").

The location of association and field settings can change between interface versions; look for tabs such as Fields and Associations on the object's settings page.

Tip

Start small: one custom object (e.g. Treatment Packages) and 4–5 fields. Expand as your team gets used to it. If you'd like help with setup, message our support team on WhatsApp.

Limitations

  • Custom objects and record limits may vary by plan.
  • Deleting an object also deletes all its records and associations.
  • Standard objects (Contact, Opportunity, Company) can't be deleted.
