Manage your name, photo, password, two-factor authentication, email signature and notification preferences.

My Profile collects the settings that only affect your own account. Changes here don't affect your colleagues — but the name patients see, your email signature and your availability in calendars all come from this page.
The page has five tabs: General, Security, Calendars, Conversations and Notifications.
Personal details and profile photo
- Open Settings → My Profile.
- Use Upload in the left box to add a profile photo. Pick a square photo with your face clearly visible — colleagues see it when conversations are assigned to you.
- Check First Name, Last Name, Email and Phone. Your email is also your login address.
- Choose the panel language from Platform Language. This only changes your own screen; it doesn't change the language of messages sent to patients.
- Click Save in the top-right corner.
Note
Our guides use the English panel labels. If you switch the panel to another language some labels will read differently, but menu locations stay the same.
Password, two-factor authentication and sessions
Patient data is sensitive. We recommend that every user has a strong password and two-factor authentication.
- On the Security tab, enter your current and new password in Change Password and click Update Password.
- Switch on Two-Factor Authentication. From then on you'll enter a one-time code from your email or authenticator app at every login.
- If you've lost your phone or left a session open on a shared computer, use Sign out everywhere to end sessions on all devices.
Important
Never share your password with colleagues. MedicalGrow includes unlimited users, so give everyone their own account. That way the audit logs clearly show who did what.
Email signature
You can add a signature automatically to emails you send patients from the panel.
- On the Conversations tab, type your name, job title and clinic contact details into Email Signature.
- Tick Include this signature on outgoing emails and click Save.
Keep the signature short and international rather than in one patient's language — for example "Elif Kaya · Patient Coordinator · Aura Dental Clinic".
Personal calendar and availability
The Calendars tab shows when you can be booked and your external calendar connections:
- Availability: enter your working hours for each day of the week. In team calendars, appointments only land in hours when you're available. More: Availability.
- Calendar connections: connect your Google or Outlook calendar so personal appointments don't clash. More: Connect Google and Outlook.
Tip
If a sales rep in London or Dubai doesn't set the right time zone, the consultation slots offered to patients will be off. Always check your time zone on the General tab.
Notification preferences
On the Notifications tab you choose which events notify you: a new conversation assigned to you, a new appointment, an overdue task and so on. If you're a busy coordinator, getting notifications only for conversations assigned to you keeps your inbox calm.
Common issues
I can't change my email address. On some accounts only an Admin can change the login email. Ask your clinic manager to update it in Settings → My Staff.
The two-factor code doesn't arrive. Check your spam folder. If it still doesn't arrive, message our support team on WhatsApp.
