Contact detail page
Manage a patient's details, activity history, tasks, appointments and conversation on a single page.
2 min read
The contact detail page is the patient's "file". Contact details, treatment interest, tags, notes, tasks, appointments, opportunities and the full messaging history all live here. Your coordinator should be able to answer any question about a patient from this page.
Opening the page
Click the contact's name in the Contacts table. You can also get here from the contact panel in Conversations or from an opportunity card.
Sections of the page
- Contact details (left) — name, phone, email, country, owner, every custom field (Treatment Interest, Preferred Language…) and tags. Click a field to edit it in place.
- Activity, tasks, notes, appointments (middle) — switch between tabs:
- Activity: the record's timeline — where it came from, tag changes, appointments, stage changes.
- Tasks: to-dos linked to this patient. See Tasks and notes.
- Notes: the team's internal notes.
- Appointments: past and upcoming appointments.
- Conversation (right) — the patient's message history across every channel. Reply without leaving the page.
- Linked opportunity — the patient's opportunities in the pipeline, with value and stage. Click to open one or add a new one.
Note
The layout can change with interface updates; on some accounts the sections appear in a different order or in collapsible panels. The content is the same.
Updating details
- Click any field in the left panel and change the value; it saves automatically or via the tick next to the field.
- Fields are shown in groups (folders). Which field goes in which group is managed under Custom fields.
- Contact Owner is the team member responsible for the patient. Reports and access restrictions are based on this field.
- DND (Do Not Disturb) stops the patient receiving messages on selected channels. If a patient says "please stop messaging me", always switch it on.
Opportunity link
A patient's sales journey is tracked as an opportunity. From the detail page:
- See the existing opportunity in the opportunities section: treatment, value (e.g. €7,900), pipeline and stage.
- Click it to change the stage or edit details.
- If the patient comes back for a new treatment, add a new opportunity.

A medical tourism example
For Jonas Weber, an implant patient from Germany, a well-kept record looks like this: phone and email complete; Country: Germany, Language: German; tags implant, de; in the middle, a task "Call after X-ray review" and a note "Budget ~€8k, prefers November, penicillin allergy"; on the right, his Instagram conversation; opportunity All-on-4 · €7,900 · Consultation booked. Anyone on the team who opens this page knows the patient in 10 seconds.
Important
Health information (allergies, chronic conditions, medication) is sensitive data. Keep it in fields only authorised team members can see, and don't collect more than you need. See Data privacy.
