Tags
Tag patients by treatment, language, source and status, and use tags to build lists, filters and reports.

Tags are short keywords you add to contact records: implant, de, vip, facebook-ads and so on. They look simple, but used well they let you slice your patient base in seconds: "German-speaking implant leads from the last 30 days", for instance.
Adding a tag to a contact
- On the contact detail page (or the contact panel in Conversations), click the + in the Tags field.
- Type the first letters and pick an existing tag from the list. If it isn't there, create one with Create tag.
To remove a tag, click the × on it. To add or remove a tag on many contacts at once, see Bulk actions; to tag contacts during an import, see Import contacts.
Tip
Always pick from the list before creating a new tag. Implant, implant and implants become three separate tags and split your reports.
A recommended tag system
A few consistent tags beat many messy ones. The structure we recommend for medical tourism clinics:
| Group | Examples | Used for |
|---|---|---|
| Treatment | implant, veneers, hair, rhinoplasty, bariatric | Right doctor and snippet. |
| Language / country | en, de, fr, ar, uk, nl | Matching coordinators. |
| Source | facebook-ads, google-ads, referral, walk-in | Comparing campaigns. |
| Status | vip, no-show, price-sensitive, do-not-contact | Patients needing special attention. |
| Import | import-2026-10 | Finding/undoing an imported list. |
Rules:
- Always use lowercase and hyphens (
hair-transplant, notHair Transplant). - Track the opportunity stage (e.g. "deposit received") with pipeline stages, not tags; tags are for lasting attributes. See Stages and status.
- Review the tag list once a month and clean out unused tags.
Filtering by tag
Tags are most useful for filtering:
- On Contacts, use More Filters → Tag to list contacts with a tag and save it as a smart list.
- In Conversations, use the Tag filter to see only messages from patients with that tag. See Filters and views.
Example: for Zeynep, your German-speaking coordinator, set up a smart list of contacts tagged de and a conversation view with the same filter; she starts every day seeing only her own patients.
Managing tags centrally
The full tag list, renaming and deleting live under Settings → Tags. Deleting a tag removes it from every contact. More in Tags management.
Heads up
Before deleting or renaming a tag that's in use, check the smart lists and views built on it; their filters may come back empty.
