Filters and views
Filter conversations by channel, assignee and tag, search and sort them, and save the filters you use often as views.

When a clinic receives hundreds of messages a day, finding the right conversation fast is critical. With filters, sorting and saved views, every team member can focus on their own work: the sales rep sees new WhatsApp leads, the German-speaking coordinator sees their own patients.
Search
Type a patient's name, phone number or email in the Search box above the conversation list. The search runs within the selected tab; if you can't find a conversation, switch to All.
Applying filters
- Click the filter icon next to the search box. The arrow icon beside it opens the sort options.
- Choose under Assigned: a specific user, unassigned conversations, or the logged-in user.
- Narrow down by channel with Last Message Channel (e.g. only WhatsApp and Instagram).
- Add extra filters such as Last Message Direction (inbound/outbound) and Tag if needed, then click Apply.
Main filters you can use:

| Assigned | Only conversations assigned to me, or unassigned ones nobody owns. |
| Follower / Mention | Conversations I follow or where I was mentioned. |
| Last Message Channel | WhatsApp only, email only… |
| Last Message Direction | Inbound: the patient wrote last and is waiting for a reply. |
| Tag | Patients tagged implant, de, vip, etc. |
Tip
Last Message Direction = Inbound plus the Unread tab is the fastest way to list patients who are waiting for an answer.
Sorting
From the sort menu next to the filter icon you can order the list by newest or oldest message. Sorting by oldest brings patients who've been waiting longest to the top.
Saving a view
If you set up the same filter every day, save it as a view:
- Create a new view from the Views section of Conversations (Create View).
- Give the view a name (e.g. WhatsApp – Unassigned) and choose the filters.
- Save it. The view sits in the list like a tab and updates automatically as new conversations come in.
Views are private to you by default; admins can share a view with the team. In a shared view each user still sees only the conversations they're allowed to see. A view built with a "logged-in user" filter shows the conversations of whoever opens it.
Note
Views and filter options can change with interface updates. If you can't find an option, message our support team on WhatsApp.
Bulk actions
- Hover over a conversation's avatar in the list and tick its checkbox; select as many conversations as you need.
- Use the icons that appear at the top to mark the selected conversations as read or unread, or to add or remove a star.
The Manual Actions tab
You may see a Manual Actions tab at the top of Conversations. It lists manual call/SMS tasks that automations leave for your team. If the automation module isn't included in your plan, this tab stays empty and you don't need to use it.
