Stages and status

Move opportunities between stages with drag and drop, and use the Open, Won, Lost and Abandoned statuses correctly.

Every opportunity has two key pieces of information: its stage (where is the patient in the process?) and its status (how did it end?). Keeping both up to date is the only way to make your board and reports reliable.

Move an opportunity to another stage

Drag and drop is the fastest way.

Grab the card and drop it on the next stage's column.

  1. In board view, grab the card you want to move and drop it on the target stage's column.

The stage updates as soon as you drop the card, and the counts and totals at the top of the columns are recalculated.

Other ways:

  • Open the card and choose the new stage in the Stage field.
  • In list view, select several opportunities and move them in bulk.

Tip

Make updating cards a daily team routine at a fixed time. For example, at the end of the day each coordinator spends five minutes reviewing their own cards.

The four statuses

Note

The difference between Lost and Abandoned matters: Lost means the patient made a clear decision; Abandoned means contact was lost. Abandoned patients make a good list for future reactivation campaigns.

When should you mark "Won"?

Set one rule for your clinic and make sure everyone follows it. The two most common approaches in medical tourism:

  • Won when the deposit is paid: good for measuring sales team performance.
  • Won when treatment is done: good for measuring realised revenue.

Whichever you choose, your reports are read according to that definition.

Choosing Lost asks for a lost reason.

  1. Click the card to open the opportunity.
  2. Choose the new status in Status (Won, Lost or Abandoned).
  3. If you chose Lost, pick a reason in Lost reason.
  4. Click Update to save.

Won and lost opportunities may stay visible on the board; to see only open ones, use the Status is Open filter. See Views and filters.

Lost reasons

Lost reasons answer the question "why are we losing patients?" They are managed in Settings → Opportunities & Pipelines. A suggested list for medical tourism:

  • Price too high
  • Chose another clinic
  • Chose treatment in home country
  • Medical contraindication
  • Travel/visa issue
  • Timing – postponed
  • No response

Tip

Keep the list short (6–8 reasons). If "Other" is being used a lot, it's time to add a new reason.

Troubleshooting

The card won't drag. You may not have permission to edit the opportunity, or the page may still be loading. Refresh and try again.

The Lost reason list is empty. No lost reasons have been defined yet. An admin can add them in Pipeline settings.
