Opportunities overview

Learn the difference between contacts and opportunities, and how pipelines, stages, value and status work.

The Opportunities module shows where every patient stands in your sales process, on a single board. You can follow each enquiry stage by stage, from the first message to the day of treatment, and see at a glance which patients are stuck and how much potential revenue is in your pipeline.

Contacts vs opportunities

MedicalGrow uses two separate record types:

  • Contact: the patient themselves. Name, phone, email, country, conversation history. There is one record per patient.
  • Opportunity: a specific treatment request from that patient. It records which pipeline and stage it is in, its estimated value and its outcome (won or lost).

A contact can have several opportunities. Jonas Weber from Berlin might first come for implants, then get in touch again six months later about teeth whitening. The contact record stays the same, but two separate opportunities are created.

One contact, several treatment requests = several opportunities.

Tip

Create a new opportunity for every new treatment request. That way your reports give the right answer to "how many implant patients did we win?"

Stage and status are different things: the stage shows where the patient is in the process, the status shows how it ended. An opportunity can sit in "Treatment Plan Sent" and be marked Lost, so you also see the point at which the patient was lost. See Stages and status.

  1. Pipeline selector: switch between pipelines if you have more than one.
  2. Board / list view: see cards in columns or as a table. See Views and filters.
  3. Opportunity card: the patient's name, value, source and quick actions (call, message, appointment). Open the card to see every detail.
  4. Add opportunity: add a new opportunity manually. See Add an opportunity.

The top of each column shows how many opportunities are in that stage and their total value. A quick look at these numbers on Monday morning is enough to set the week's priorities.

Note

Opportunities aren't only created by hand from Conversations or Contacts; they can also be created automatically from ad lead forms and integrations. Automated flows are configured by the MedicalGrow team as part of your setup.

Why use it?

  • No patient falls through the cracks: "They were going to send photos, what happened?" is a thing of the past; the patient stays in their column until someone moves them.
  • Team visibility: the owner field shows who is handling which patient.
  • Revenue forecast: the totals of "Treatment Plan Sent" and "Deposit Paid" give you expected revenue for the coming weeks.
  • Loss analysis: you can report on why opportunities were lost (price, competitor clinic, travel issues).
