Add an opportunity
Create an opportunity for a patient manually and fill in pipeline, stage, value, owner and source correctly.

Patients who phone you, walk into the clinic or come through a referral may not enter any automated flow. For these patients you create the opportunity manually, so the numbers in your pipeline reflect reality.
Create an opportunity
- On the Opportunities screen, click Add opportunity in the top right.
- In Contact, type the patient's name, phone or email and select the existing contact. If the contact doesn't exist yet, you can enter the new contact's details in the same window.
- Fill in the core details:
- Opportunity name: we recommend
Patient name – Treatment, e.g.Amira Haddad – Hair transplant. - Pipeline and Stage: where the patient is right now. Usually New Lead or Contacted for a new enquiry.
- Status: Open for new opportunities.
- Opportunity value: the estimated treatment amount. If the plan isn't ready yet, use the average price for that treatment.
- Opportunity name: we recommend
- Add ownership and source details:
- Owner: the coordinator who will follow up with the patient.
- Opportunity source: where the patient came from (WhatsApp, Instagram, Google Ads, Referral…).
- Followers: other team members who should be kept informed (e.g. the doctor).
- Tags: labels that make filtering easier, e.g.
hair-transplant,uae.
- Click Create. The card appears in the column of the stage you chose.
Tip
You can also add an opportunity from the contact record: Contacts → the patient's detail page → Opportunities section. See Contact detail page.
What the fields are for
| Field | Why it matters |
|---|---|
| Opportunity value | Stage totals, pipeline value and revenue reports are calculated from it. An empty value counts as €0. |
| Owner | The "assigned to me" filter and team performance reports rely on this field. |
| Opportunity source | Shows which channel really brings in patients. |
| Status | Won/lost counts and conversion rate are calculated from it. |
Important
The currency comes from your account settings. If you quote in euros, pounds and dollars, record everything in a single currency (usually euros); otherwise the totals will be misleading.
Clinic example
Amira Haddad from Dubai messages on WhatsApp about a hair transplant. Coordinator Zeynep has the first conversation:
- Opportunity name: Amira Haddad – Hair transplant
- Pipeline / Stage: Patient Journey / Contacted
- Value: €3,900 (4,000-graft package price)
- Owner: Zeynep Arslan
- Source: WhatsApp
- Tags:
hair-transplant,uae
When Amira sends her photos, Zeynep drags the card to Photos/X-rays Received. See Stages and status.
Custom fields
For clinic-specific details such as treatment type, planned travel date or number of grafts, you can add custom fields to opportunities. They appear as an extra section in the opportunity window. See Custom fields and Recommended custom fields.
Troubleshooting
Two opportunities were created for the same patient. Open one of them and set its Status to Abandoned, or delete it. To merge duplicate contacts, see Duplicates and merging.
The patient doesn't show up in the contact search. Try typing the phone number with the country code (+49…); the contact may have been saved with a different number.
