Import opportunities
Bring opportunities from your old CRM or spreadsheet into the right pipeline and stage with a CSV file.
3 min read
When you move to MedicalGrow, you don't need to re-enter your existing patient enquiries by hand. With a CSV file you can bring hundreds of opportunities into the right pipeline and stage in one go, and update existing opportunities in bulk.
Before you start
- Create the target pipeline and its stages first. See Create a pipeline.
- If the contacts already exist, each row needs a Contact ID. If they don't, use Contacts + Opportunities to create the contact and the opportunity together. For contact imports, see Import contacts.
- The file must be CSV; the size limit is 30 MB.
Prepare the CSV file
| Column | Required? | Notes |
|---|---|---|
| Contact ID | Yes* | The contact the opportunity belongs to. *With Contacts + Opportunities, contact details are enough. |
| Opportunity Name | Yes | E.g. Sarah Mitchell – Veneers |
| Pipeline | Yes | Must match the pipeline name in the panel exactly. |
| Pipeline Stage | No | Must match the stage name in the panel exactly. |
| Opportunity Value | No | Numbers only: 4800 (no currency symbol). |
| Status | No | open, won, lost or abandoned. |
| Opportunity ID | For updates | Needed to update existing opportunities. |
Heads up
Small differences in pipeline and stage names (an extra space, "X-Rays" instead of "X-rays") will put opportunities in the wrong place or stop them importing. Copy the names straight from the panel.
Import steps
- On the Opportunities screen, click Import in the top right.
- Choose the import type: Opportunities if the contacts already exist, or Contacts + Opportunities to create the contacts as well.
- Drag and drop or select your CSV file.
- Click Next.
- Choose whether to create new opportunities or update existing ones.
- Map each CSV column to the matching MedicalGrow field. Choose Don't import for columns you want to skip. Your custom fields are in the list too.
- If you're updating, keep Don't update Empty Values switched on, so empty cells in the CSV don't wipe existing data.
- Review the mapping and any warnings, then start the import.
The import runs in the background. When it's done, the opportunities appear in the chosen pipeline; any rows with errors are listed on the results screen.
Tip
Import a 5–10 row test file first. Once you've checked the cards land in the right stage with the right value, upload the full file.
Clinic example
Your clinic has tracked enquiries in Excel for years, with a "Status" column containing phrases like "quote sent" or "deposit received". Before importing, map these phrases to your pipeline stages:
- "quote sent" →
Treatment Plan Sent - "deposit received" →
Deposit Paid - "came, treated" →
Treated+ statuswon - "changed mind" → status
lost
Use find-and-replace in Excel to clean the column, save it as CSV and follow the steps above.
Troubleshooting
Special characters look garbled. Save the file as CSV UTF-8.
Opportunities were created but the stage is empty. The stage name doesn't match the panel. Check the names and import again in update mode.
Values show as €0. The value column may contain currency symbols or mixed decimal separators. Use numbers only: 4800.
