Calendars overview
Understand the difference between calendar view and the appointment list, and manage all your clinic's appointments in one place.
2 min read
The Calendars module brings online pre-consultations, in-clinic examinations, operations and check-ups together in one place. Patients pick their own time from the booking link you share, and your team sees, moves and closes out appointments from the same screen.
Two core concepts
- Calendar: the rules for one type of appointment. For example, a "Video Consultation" calendar might be 20 minutes long, shared between two coordinators and open weekdays 09:00–18:00. Calendars are created under Settings → Calendars. See Create a calendar.
- Appointment: a booking a patient has made in a specific calendar at a specific time. Appointments appear in the Calendars module in the left menu.
In short: you set up the calendar once, and appointments flow through it every day.
Calendar view
- Click Calendars in the left menu.
- Use the toggle at the top to choose Calendar View or Appointment List View.
- In calendar view, choose day, week or month.
- Use the filter to show specific calendars or team members, e.g. only Dr. Mehmet Demir's operations.
- Use the button in the top right to create a new appointment. See Manage appointments.
Calendar view is ideal for seeing how busy a day is: which doctor is booked when, and how operation days are spread across the week.
Appointment list view
- Pick one of the default lists: Upcoming, Cancelled or All.
- Change an appointment's status straight from its row, without opening it.
List view is best for working through appointments in bulk: calling everyone due tomorrow, finding patients who didn't turn up (No-show), or winning back cancellations. Use Advanced Filters to narrow by calendar, user, status and date.
| Need | Recommended view |
|---|---|
| A doctor's daily schedule | Calendar View → Day |
| Weekly operation plan | Calendar View → Week, filtered to operation calendars |
| Confirming tomorrow's patients | Appointment List View → Upcoming |
| Winning back no-shows | Appointment List View → filter: Status = No-show |
Tip
A good routine is to keep Day view open on the reception screen and Appointment List View open on coordinators' screens.
Where do appointments come from?
- Booking link: the patient picks a time from the link you shared or a calendar embedded on your website. See Booking link.
- Your team: a coordinator creates the appointment manually after a WhatsApp conversation.
- Connected calendars: events from Google or Outlook can be synced. See Connect Google and Outlook.
Note
Every appointment is linked to a contact. All past and upcoming appointments are listed on the patient's contact page.
