Bulk actions
Add or remove tags, assign owners, add to a pipeline, export or delete many contacts at once.
2 min read
Instead of editing hundreds of contacts one by one, update them in one go with bulk actions. Tagging 300 contacts imported after an expo, handing a departing employee's patients to another coordinator, or deleting test records takes just a few clicks.
Running a bulk action
- Select contacts by ticking the boxes on the left of each row. The header checkbox selects every contact on the page; with a smart list open, you're also offered the option to select the whole list.
- Pick an action from the bar that appears above the table. A window opens depending on the action (e.g. which tag to add).
Available actions
| Action | What it does | Clinic example |
|---|---|---|
| Add Tag | Adds a tag to the selected contacts. | Tag an expo list expo-london-2026. |
| Remove Tag | Removes a tag. | Campaign over, remove promo-autumn. |
| Assign | Changes the contact owner. | Hand a leaver's patients to Zeynep. |
| Pipeline | Adds contacts to a pipeline stage as opportunities (depending on your plan). | Put old leads into a Re-engagement stage. |
| Merge | Merges selected duplicate records. | See Duplicates and merging. |
| Export | Downloads the selected contacts as a CSV. | See Export and delete. |
| Delete | Deletes the contacts. | Test records. |
Note
The actions you see depend on your user permissions and plan. Marketing actions such as bulk SMS/email aren't included in your plan; if you need them, message our support team.
Example: adding a tag in bulk
- Choose or type the tag to add.
- Give the job a recognisable name (e.g. Autumn promo – tag); it shows in the Bulk Actions history. Where offered, choose whether it runs all at once or in batches.
- Confirm with Add Tag.
Tracking job history
Bulk actions run in the background and can take a few minutes on large lists.
- Go to Contacts → Bulk Actions and click Show Stats on the job's row: see how many contacts succeeded or failed, and download the error log if needed.
From the row's menu you can, where applicable, pause or cancel a job, or undo a bulk delete (Restore).
Heads up
Double-check your selection before starting bulk deletes or bulk reassignments. The safest approach: build the right list with a filter first, check the contact count, then run the action.
Tips
- Create a smart list before a bulk action so you can see later exactly who it covered.
- When reassigning contacts, conversation assignments may also need updating; see Assigning and collaborating.
- Run very large jobs outside working hours.
