Reporting overview
Learn which question each report in the Reporting module answers for a clinic owner, and when to look at each one.
3 min read
The Reporting module shows what your ad budget, your team and your appointment calendar are actually producing. In medical tourism, the journey from first click to operation day can take weeks; reports show you where along that journey you are losing money and patients.
This article summarises what each report is for, what it needs to work, and how often you should check it as a clinic owner.
Opening a report
- Open Reporting from the left menu.
- Pick the report you need from the tabs at the top.
- Set the period you want to review with the date picker in the top-right corner.
Note
Some reports may not appear, depending on your package and connected integrations. For example, the Facebook Ads report needs your Facebook ad account to be connected. If a report you need is missing, message our support team on WhatsApp.
Which report answers which question?
| Report | The question it answers | Requirement |
|---|---|---|
| Attribution Report | Where do my patients come from, and which source actually turns into revenue? | Forms, calendars and ads tracked with UTMs |
| Facebook Ads | How many leads and treatments did my Facebook/Instagram spend produce? | Facebook integration + ad account |
| Google Ads | How many patients did my search ads bring, and what is my cost per lead? | Google Ads integration |
| Call Reporting | How many calls came in, how many did we miss, where do they come from? | MedicalGrow phone system |
| Appointment Report | How many consultations were booked, attended or cancelled? | Appointments kept in Calendars |
| Agent Reporting | How much is each coordinator doing, and how much are they closing? | Opportunities assigned to users |
| Custom Reports | How do I get my own numbers in my inbox every Monday? | — |
A suggested routine for clinic owners
- Daily (5 minutes): new leads and appointments on the Dashboard. Missed calls in Call Reporting.
- Weekly (20 minutes): cost per lead (CPL) in the Facebook Ads and Google Ads reports; no-show rate in the Appointment Report; coordinator performance in Agent Reporting.
- Monthly (1 hour): revenue by source in the Attribution Report. Move budget towards the sources that bring revenue.
Tip
Instead of checking all of this by hand, build a custom report and have it emailed to you every Monday morning. For which numbers to track, see Clinic owner KPIs.
Keeping reports accurate
Reports are built from the data in your CRM. If the data is incomplete, so are the reports:
- Every lead needs an opportunity. The "Leads" and "Sales" figures in the ad reports are counted from opportunities. See Stages and status.
- Won opportunities must be marked "Won" with a value. Otherwise revenue and ROI show as zero.
- Appointments must be booked in a calendar. Consultations agreed on WhatsApp but never added to a calendar do not appear in reports.
- Opportunities must be assigned to a user. Unassigned opportunities are not credited to anyone in the team report.
Example
Picture a clinic advertising implants in Germany. The Facebook Ads report shows 97 leads a month at €25 CPL — a good result at first glance. But the Attribution Report shows only 2 deposits from that campaign, while Google search ads brought fewer leads but 5 operations. The right decision comes from revenue per source, not CPL alone.
Troubleshooting
The report shows zeros. Check the date range; the default range may be short. In the ad reports, make sure the correct ad account is selected.
The Dashboard and a report show different numbers. Date ranges and filters may differ. See Date ranges and filters.
