Custom reports
Build reports with your own numbers, choose the data source and chart type, and email them automatically on a schedule.
3 min read
Custom Reports let you gather the numbers you need on one page, download them as a PDF, or email them on a regular schedule. They are ideal for giving the clinic owner a weekly summary every Monday morning without logging in, or for sending partners a monthly ads and revenue report.
Note
Dashboards are for day-to-day tracking inside the team and require a login to view. Custom reports are built for scheduled email and PDF; recipients don't need a MedicalGrow account. For dashboards, see Custom dashboards.
Creating a new report
- Open Reporting → Custom Reports and click New Report.
- Start from a blank report, a ready-made template, or by converting an existing dashboard, and give the report a name.
Adding and editing widgets
In the report editor, the elements you can add are on the left, the report page is in the middle and the settings for the selected element are on the right.
- Add a widget with the + icon in the left panel (chart, table, text or heading).
- In the right panel, choose the widget's data source: e.g. Contacts, Opportunities, Appointments, Conversations, Facebook/Google ads.
- Choose the visualization: bar chart, donut, line, number tile or table.
- Add filters — for example only "Paid Social" contacts, only the "Implant" pipeline, or a source breakdown based on First Attribution.
- When the report is ready, send or schedule it with Send or Schedule.
You can add several pages, reorder them by drag and drop, put your clinic logo on a cover page and change the theme colours.
Scheduling and sharing the report
- In the Send or Schedule window, choose Schedule and pick the frequency (daily, weekly, monthly), the delivery time and the date range the report should cover.
- Enter the recipients' email addresses in Recipients and write a subject line. Send a test email first to check how it looks.
You can also download the report as a PDF from the top-right corner and share it directly.
Heads up
In emails and PDFs, tables show only the first 100 rows and drill-downs don't work. For long patient lists, use summary numbers instead of a table, or export the list from Contacts.
A suggested weekly clinic report
| Widget | Data source | Visualization |
|---|---|---|
| New leads by source | Contacts, First Attribution | Bar chart |
| Lead → treatment plan → deposit | Opportunities (pipeline stages) | Funnel / bar |
| Consultations: booked, attended, no-show | Appointments | Number tiles |
| Ad spend and CPL | Facebook / Google ads | Number tile + table |
| Won opportunities by coordinator | Opportunities, assigned user | Table |
For which metrics to track, see Clinic owner KPIs.
Troubleshooting
The report has no data. Check the widget's date range and filters. For ad widgets, make sure the correct ad account is selected.
A recipient didn't receive the email. Check the spam folder, and send a test email to yourself first.
