Dashboard overview
Learn the dashboard selector, date range, widgets and what each figure on the Dashboard tells you.

The Dashboard is the first screen you see after logging in. It shows your clinic's lead, appointment and sales figures at a glance: how many new enquiries came in this month, how many became consultations, how many treatments were sold and how much open opportunity value sits in the pipeline.
For the clinic owner it's the weekly check-in screen, for the patient coordinator a daily to-do list and for the marketing lead the first indicator of ad performance.
Before you start
- To see the Dashboard, your user needs Dashboard permission. See Roles and permissions.
- Widget figures are calculated from data in Contacts, Opportunities and Calendars. Until your pipeline and calendars are set up, figures may look empty. See the First-week setup checklist.
Parts of the screen
- Dashboard selector: Click the dashboard name in the top left to switch between dashboards you've created or that have been shared with you. See Custom dashboards.
- Date range: Sets which period every widget shows (today, last 7 days, this month, a custom range…). See Date ranges and filters.
- Edit mode (pencil icon): Puts the dashboard into edit mode to add, move, resize or delete widgets. See Customising widgets.
- Action menu (three dots): Options to clone the dashboard, set it as default, manage its time zone and permissions, or delete it.
- Widgets: Each tile is one indicator: a number tile, donut chart, bar/line chart or table. You can click most widgets to open the list of records behind them.
Tip
If a widget's figure looks surprising, click it. The list that opens shows each patient behind the number, and you can export it if needed.
What does each figure tell you?
The indicators most often used on clinic dashboards and what they mean in medical tourism:
| Indicator | What it measures | What it means for the clinic |
|---|---|---|
| New Leads | Contacts created in the selected period | The volume of enquiries from ads and social media. |
| Leads by Source | Contacts broken down by source | Which channel (Facebook form, Instagram DM, Google Ads, referral) brings the most patients. |
| Consultations Booked | Appointments created | How well conversations turn into bookings. |
| Appointments by Status | Appointment statuses (Confirmed, Showed, No-show, Cancelled) | The share of patients who miss their online consultation. |
| Opportunities by Stage | Opportunities in each stage | Where patients get stuck (e.g. treatment plan sent but no deposit). |
| Won Opportunities | Opportunities marked as won | Treatments sold (patients who've paid a deposit). |
| Pipeline Value | Total value of open opportunities | Potential revenue for the coming weeks. |
| Conversion Rate | Won / total opportunities | The team's sales efficiency. |
Note
Accurate figures depend on your team keeping stages and statuses up to date. If a patient who paid a deposit isn't marked "Won", the Dashboard can't see the sale. See Stages and statuses.
Using the Dashboard day to day
A sample weekly routine:
- Monday morning (clinic owner): Set the date range to "Last 7 Days" and compare new leads and the source breakdown with the previous week. If Facebook leads have dropped, let the ads team know.
- Every day (patient coordinator): On your own dashboard, check open opportunities assigned to you and today's appointments.
- Month end (manager): Share won opportunities and pipeline value for "Last Month" in the team meeting.
For example, if you're running an implant campaign aimed at Germany, you can create a dashboard that only shows leads from Germany and track the campaign on its own. See Custom dashboards.
Dashboard vs Reporting
| Dashboard | Reporting | |
|---|---|---|
| Purpose | Quick summary, daily tracking | In-depth analysis |
| Flexibility | You choose and arrange widgets | Ready-made report types (attribution, ads, calls, appointments, team) |
| For | Everyone | Managers and marketing |
For deeper analysis such as tying ad spend to sales, see the Reporting overview.
Common issues
Widgets look empty. Widen the date range and check whether the relevant module has data. For widgets that need a pipeline, make sure the right pipeline is selected.
A colleague sees different figures. If a user is restricted to records assigned to them, widgets only count those records. The dashboard's time zone can also shift figures around the day boundary.
I can't change the dashboard. You may only have View access. Ask the dashboard's creator or an admin for edit access.
