Navigating and searching the panel
Move quickly through the panel with the left menu, global search, notifications and view switching, plus time-saving tips.

The place patient coordinators lose the most time during the day is finding the right screen and the right patient. This article covers the main navigation elements of the panel and how to reach any patient in a few seconds.
The four key elements of the screen
- Left menu: Switch between modules (Dashboard, Conversations, Calendars, Contacts, Opportunities, Reporting, Media Storage, Settings). Your clinic name is shown at the top.
- Global search (Search): The search box in the top bar searches contacts, opportunities and conversations from one place.
- Notifications: The bell icon lists new leads assigned to you, new appointments, task reminders and messages for you.
- View tabs: Sub-screens within a module. For example Smart Lists, Bulk Actions and Tasks in Contacts, or calendar and appointment list views in Calendars.
Note
The left menu only shows the modules your role can access. If you can't see a module, ask your admin for access: Roles and permissions.
Using global search
Global search is the fastest route when you know a patient's name, phone number or email.
- Click the Search box in the top bar (or use the keyboard shortcut shown in the box — usually ⌘K on Mac and Ctrl+K on Windows).
- Type part of the patient's name, their phone number or email. When searching by phone, you can also try the last digits without the country code.
- Results are grouped, for example into Contacts, Opportunities and Conversations. Click a result to go straight to the record.
Tip
Patients sometimes enter a different name on a form ("Sarah M."). If you can't find someone, search by phone number — it's the most reliable unique identifier.
In-module search and filters
Besides global search, every module has its own search and filters:

| Conversations filters | Viewing unread, assigned-to-me or per-channel (WhatsApp, Instagram…) conversations. See Filters and views. |
| Opportunities search and filters | Finding cards by pipeline, stage, assigned user or status (Open/Won/Lost). See Views and filters. |
Managing notifications
- Click the bell icon in the top bar. A red dot shows when you have unread notifications.
- Click a notification to go to the related contact, conversation or appointment.
- Choose which events notify you in your profile settings: Profile settings.
Tip
For coordinators, the most important notification is "a new lead has been assigned to you". In medical tourism, leads contacted within the first 5 minutes are noticeably more likely to book. See Speed to lead.
Switching between views
Many modules let you see the same data in different ways:
- Opportunities: Switch between the Kanban (board) view and the list view. The board is best for seeing stages; the list is best for bulk actions.
- Calendars: Day, week and month views, plus an appointment list.
- Contacts: The default list and your saved Smart Lists. You can arrange the columns to suit you.
- Dashboard: Create several dashboards and switch between them from the selector at the top. See Custom dashboards.
Time-saving tips
- Browser tabs: Keep Conversations open in one tab and do other work in a second tab. You can right-click a patient record and open it in a new tab.
- Bookmarks: Bookmark the address of a Smart List or pipeline view you use often.
- Everything from the contact record: From a patient's record you can jump to their conversation, opportunity, appointments and notes — no need to search for each one. See Contact detail page.
- Browser zoom: On small laptop screens, 90% zoom shows more stages of the pipeline board at once.
Common issues
I can't find a patient in search. If the patient isn't assigned to you and your permissions only let you see your own records, they won't appear in search. Ask your admin: Restricting data access.
I'm not getting notifications. Check the notification preferences in your profile and your browser's notification permissions.
