Managing a multilingual team
Organise multilingual patient communication with language tags, smart lists per language, assignment by language and TR/EN/DE/FR/AR templates.

If your clinic's patients come from the UK, Germany, France, the Netherlands and the Gulf, speaking to each patient in their own language directly lifts conversion. This guide covers how to mark a patient's language in the CRM, route them to the right coordinator and keep message templates consistent across languages.
1. Mark the language: tag and custom field
Keep each patient's language in two places:
- The Language custom field (in the Patient Info folder): permanent, reportable data. See Recommended custom fields.
- A language tag: for quick filters and lists. Use a single naming convention:
lang-en,lang-de,lang-fr,lang-ar,lang-tr,lang-nl.

Tip
Set the language from the language of the form or ad (form from a German ad → lang-de). If the patient's first message is in a different language, correct the tag.
2. A smart list for each language
A smart list is a saved filter. With one list per language, each coordinator sees only patients in their own language.
- On the Contacts page, make sure patients carry their language tag (e.g.
lang-de). - Add the condition Tag is lang-de to the filter.
- Use Save as smart list to save it with a name such as "German patients".

3. Assigning by language

- Name a main and a backup coordinator for each language, so leads don't wait during holidays and sick days.
- Assign the opportunity and the conversation to the same person: Assigning and collaborating.

4. The same templates in every language
Build your template set with the same structure in every language, and include the language code in the name: "First reply — DE", "Photo reminder — FR", "Treatment plan — AR".
Recommended minimum set (per language):
- First reply (first reply + photo request)
- Photo reminder
- Treatment plan (sending the plan and price)
- Deposit & booking
- Travel info (flight, hotel, transfer)
- Aftercare

Heads up
Don't send messages containing medical information through machine translation. Treatment plans, medication and aftercare instructions should be checked by someone who speaks the language. In Arabic messages, check that right-to-left text and numbers display correctly.
5. Measure by language
Each month, compare leads, deposits and revenue per language. In a custom report you can add a widget grouped by the "Language" field: Custom reports. If a language has plenty of leads but few deposits, the problem is usually coordinator capacity or template quality in that language.
Example
The clinic notices that 30% of German leads get a reply after more than 2 hours, because Mehmet is the only German speaker. Zeynep is named as backup, the German template set is completed, and while Mehmet is on leave Zeynep sends the first reply from the templates and hands the conversation back to him.
