The Yönetim (Management) tab
Load, rhythm, contact volume and speed per agent; best call hours, time spent in each stage and the priority list.
4 min read
The Yönetim (Management) tab shows the sales team's day-to-day operation: how many open leads each agent carries, how much work moved forward today, who makes how much contact on which channel, which hours are best for calling and which lead should be touched first. Use it for distributing leads and planning shifts.
Note
The Management tab is not for editing the team; you can't add users or change the agent list here. Manage agents in the Satışçılar (Agents) step under Ayarlar ↗ (Settings), and panel users in My Staff.
Satışçı analizi (Agent analysis)
The Açık, Ödemede and Ritim columns show the current state; the other columns cover the selected period. Time outside business hours is left out of speed measurements.
- Açık (Open): the agent's current open leads (by current owner). Next to it, Ödemede (At payment) is how many of those are in the Payment class.
- Ritim (Rhythm): leads whose stage changed today ÷ open leads. Shows how much work the agent moved forward in their pipeline today; 35% and above is green.
- Temas (Contacts): outgoing calls and messages made by the agent themselves (automations excluded). Channel columns follow (Arama Calls, WhatsApp, SMS, E-posta Email, Sosyal Social, Canlı sohbet Live chat); only channels used in the period are shown.
- Bağlanma (Connect rate): share of calls that were answered; 35% and above green, below 20% red.
- İlk temas SLA (First contact SLA): share of new leads first contacted within the target time; 80% and above green, below 50% red. To its right are İlk temas medyan (Median first contact), Yanıt medyan (Median reply) and Cevap bekleyen (Awaiting reply).
Below the table, a note says how many automation messages in the period were not counted as human contact. For definitions, see Contact audit. The Yanıt hızı (Response speed) and Kanıtsız ilerletme (Unproven progression) cards on this tab are also covered there.
En iyi arama saatleri (Best call hours)
- The chart shows the connect rate by hour for agents' outgoing calls (answered ÷ calls, in the clinic's time zone). Hover over a bar to see the number of calls and answers in that hour. Hours with fewer than 5 calls get no bar ("örnek az", small sample).
- The note below names the two hours with the best connect rate and the busiest calling hour.
In medical tourism, patients are in different time zones. For example, if 16:00–17:00 has the best connect rate, that may match lunch breaks in Europe. If the team calls most at 11:00 but connects best at 16:00, try moving the calling blocks. No comparison is made without at least 5 calls per hour; if fewer than three hours have enough data, the note says "Saat bazında karşılaştırma için yeterli arama yok" (Not enough calls to compare by hour).
Stage speed and priority list
- Stage hızı (Stage speed): average and longest waiting time of open leads in each stage (Not reached, Spoken to and Payment classes). Waiting is counted from the moment the lead entered that stage.
- Öncelik sırası (Priority list): the top 15 open leads to touch first. Score = stage weight + 2 points for each day waiting, up to 14 days. Stage weights: Payment 100, Spoken to 70, the first Not-reached stage (usually New Lead) 30, other Not-reached stages 50. That's why leads at the payment stage are always at the top.
Example: "Plan Sent" has an average wait of 8.7 days and a longest wait of 61 days. That shows patients are left without follow-up after the treatment plan is sent. In the priority list, Hannah Becker has been waiting at Plan Sent for 12 days: Mehmet Demir should call her today and either move her to the payment stage or close her as lost.
Balancing the load
- If one agent's Open count is clearly higher and Rhythm is low, temporarily shift new lead distribution to other agents. Leads are distributed with the assignment settings in Opportunities and Conversations; the Chief doesn't assign anything.
- If Contacts is high but Connect rate is low, the agent is calling a lot but not getting through: check call times and the number they use, and support calls with WhatsApp.
- If the Awaiting reply column shows a red number, open that agent's inbox together. See Inbox overview.
